Terms of Service

1. Acceptance of Terms

By creating an account or using DuesFam, you agree to these Terms and our Privacy Policy. If you do not agree, please do not use the service.

2. What DuesFam Is (And Is Not)

DuesFam IS:

• A digital ledger and tracking platform for group dues, contributions, and payments
• A tool to provide transparency and accountability for treasurers and members
• A reporting and export system (Excel, WhatsApp summaries)
• An organizational tool for families, churches, susu clubs, and community groups

DuesFam IS NOT:

• Not a bank or financial institution. We do not hold deposits, manage funds, or process group payments.
• Not a payment processor. Your group's dues are exchanged directly between members and your treasurer via Mobile Money, cash, or bank transfer — outside of DuesFam.
• Not a money transfer service. We do not move money on behalf of users or groups.
• Not a substitute for proper accounting or legal advice. For tax, legal, or financial advice, consult a qualified professional.

3. Eligibility

You must be at least 18 years old to create an account on DuesFam. By signing up, you confirm that:

• You are at least 18 years old
• You have the legal capacity to enter into these Terms
• The information you provide is accurate
• You will use the service only for lawful purposes

4. Account Responsibilities

When you create a DuesFam account, you are responsible for:

• Keeping your password and authentication details secure
• All activity that happens under your account
• Notifying us immediately of any unauthorized access
• The accuracy of all data you enter (group, member, payment records)
• Informing members before adding their personal information (names, phone numbers) to your group

5. Group Owners' Responsibilities

If you create a group on DuesFam (as the Owner), you are responsible for:

• Ensuring all members have consented to having their information stored in DuesFam
• Accurately recording payments received from members
• Safekeeping the actual group funds (we strongly recommend a dedicated group bank account)
• Resolving any disputes between members about payments
• Complying with local laws regarding group savings, contributions, and tax obligations

6. Money Handling Disclaimer

This is critical:

• DuesFam does NOT take custody of your group's money at any point
• All dues are paid directly to your treasurer via cash, Mobile Money, or bank transfer
• DuesFam only records that a payment was made — it does not facilitate the payment itself
• We are NOT responsible for missing, misappropriated, or disputed funds within your group
• Any disputes about money must be resolved within your group, not with DuesFam

We strongly recommend that all groups using DuesFam keep their dues in a dedicated group bank account separate from personal funds, with two or more signatories for accountability.

• Free forever — no credit card required
• 7-day trial of WhatsApp summary feature

Pro Plan — GHS 49/month

• Up to 10 groups, 500 members per group
• Password-protected Excel exports
• WhatsApp summaries and automated reminders
• AI document import (scan dues ledgers)
• PDF receipts and payment tracking
• Team roles and personalized invites
• Priority support

Premium Plan — GHS 99/month

• Everything in Pro plan
• Unlimited groups and unlimited members
• AI-powered insights and analytics
• Branded Excel exports
• Dedicated onboarding call
• Direct WhatsApp support line
• Early access to new features

Payment Terms

• Subscription payments are processed via Paystack, in Ghana Cedis (GHS)
• Pro subscriptions auto-renew monthly until cancelled
• Annual subscriptions renew yearly
• You can cancel any time from your dashboard
• Refunds are available within 7 days of payment if you've not used Pro features extensively

8. Acceptable Use

You agree NOT to use DuesFam to:

• Engage in any illegal activity, including money laundering or fraud
• Misrepresent yourself or impersonate others
• Collect data from members without their consent
• Attempt to access other groups' data without authorization
• Reverse engineer, copy, or resell the DuesFam platform
• Send spam or unauthorized commercial messages via DuesFam
• Upload malicious code, viruses, or harmful content
• Use the service in any way that could harm DuesFam or its users

We reserve the right to suspend or terminate accounts that violate these terms.

9. Intellectual Property

DuesFam (the platform, software, branding, design) is a product of Breezy ArtDrop Studios Ltd. You retain all rights to your group data, member information, and payment records. By using DuesFam, you grant us a license to store and process this data solely to provide the service.

10. Data Export & Account Deletion

You can:

• Export all your group data as Excel files at any time
• Delete your account from the dashboard settings
• Request manual deletion via email if needed

When you delete your account, all groups you own, member records, and payment data are permanently deleted within 30 days.

11. Service Availability

We strive for high uptime but cannot guarantee 100% availability. The service may be temporarily unavailable due to:

• Scheduled maintenance (we'll notify you in advance)
• Emergency security updates
• Issues with third-party providers (Supabase, Vercel, Paystack)
• Force majeure events beyond our control

12. Limitation of Liability

To the maximum extent permitted by Ghanaian law:

• DuesFam is provided "as is" without warranties of any kind
• We are not liable for any disputes between group members
• We are not liable for missing or misappropriated funds within your group
• Our total liability for any claim is limited to the amount you paid us in the past 12 months
• We are not liable for indirect, consequential, or punitive damages

13. Indemnification

You agree to indemnify and hold harmless DuesFam and our team from any claims, damages, or expenses arising from:

• Your use of the service
• Your violation of these Terms
• Your violation of any rights of a third party
• Disputes within your group

14. Changes to Terms

We may update these Terms from time to time. We will:

• Update the "Last updated" date at the top
• Notify active users via email for material changes
• Give you 30 days' notice before significant changes take effect

Continued use of DuesFam after changes means you accept the updated Terms.

15. Termination

We may suspend or terminate your account if:

• You violate these Terms
• Your account is used for fraudulent or illegal activity
• You fail to pay subscription fees when due
• We discontinue the service (with 60 days' notice)

You may terminate your account at any time by deleting it from the dashboard.

16. Governing Law

These Terms are governed by the laws of the Republic of Ghana. Any disputes will be resolved in the courts of Accra, Ghana.
