Delete your data
How to remove a member, an organisation, or your entire DuesFam account โ what disappears, what we are required to keep, and how long each takes.
You can delete a member, an organisation, or your whole account yourself from inside the app โ no request, no waiting. Export your records first: deletion is permanent and we cannot restore it.
1. Delete it yourself, in about a minute
You do not need to ask us. Everything below can be done from inside DuesFam, and it takes effect immediately.
Delete one member
Go to Members, open the member, and choose Delete. This removes that person's record and their payment history from your organisation.
Delete one organisation
Go to Settings โ Group Setup and choose Delete Group. This permanently removes that organisation with all of its members, payments, collections, pledges and expenses. Your other organisations are unaffected.
Delete your whole account
Go to Settings โ Account โ Danger Zone and choose Delete My Account. You will be asked to type your email address to confirm โ this action cannot be undone. It removes your account and every organisation you own.
Export first. Deletion is permanent and we cannot restore data afterwards. Take a copy from the Reports screen before you delete anything โ it produces a full Excel workbook of members, payments, collections and expenses in one click.
2. Ask us to do it instead
If you cannot sign in, or you would rather we handled it, email hello@duesfam.com with the subject "Data Deletion Request" and tell us:
- The email address on the account
- Whether you want the whole account deleted, or only a named organisation or member
Send it from the email address on the account where you can โ it is the quickest way for us to verify you. If you cannot, we will verify your identity another way before deleting anything, because deletion is irreversible and we will not act on an unverified request.
3. If you are a member, not an account holder
Most people recorded in DuesFam did not create the account โ their treasurer or secretary entered them. Those records belong to the organisation, which decides what it keeps, so the fastest route is to ask your organisation's treasurer or secretary directly. They can delete your record immediately.
If they will not, or you cannot reach them, contact us. We will pass the request on, and where data-protection law requires us to act directly, we will.
4. What gets deleted
Deleting your account removes, from our active systems:
- Your account, profile and sign-in credentials
- Every organisation you own, with its settings
- All member records โ names, phone and WhatsApp numbers, email addresses
- All payment records, and the payment evidence images you uploaded
- Campaigns, projects, welfare cases, events, pledges and expenses
- Team roles and any outstanding invite links
- Notifications, audit logs and AI usage records for those organisations
- Your referral code and referral statistics
- Any unused AI credits, which are forfeited
5. What we keep, and why

Payment records held by Paystack for your subscription are governed by Paystack's own retention obligations as a licensed payment processor, and are outside our control.
6. How long it takes
- In-app deletion โ immediate. The records are gone from the live database as soon as you confirm.
- Emailed requests โ verified and actioned within 30 days, usually within a few business days. We email you when it is done.
- Backups โ overwritten within 30 days of deletion.
We do not charge for deletion requests.
7. Deleting data held by connected services
If your organisation used WhatsApp reminders, message delivery was handled by Meta's WhatsApp Business Platform. Deleting your DuesFam account removes the phone numbers and message schedules we hold, but any record Meta keeps of message delivery is governed by Meta's own policies. To remove data held by Meta, use the privacy controls in your Meta or WhatsApp account.
The same applies to Google if you signed in with Google: we delete our copy of your profile, and your Google account itself is managed by you at Google.
8. What deletion does not do
- It does not cancel a subscription on its own โ cancel in Settings first, or you may be billed for the next period.
- It does not delete an organisation you were merely invited into as an Admin or Auditor. That organisation belongs to its owner; deleting your account removes your access, not their records.
- It does not delete Excel exports, PDF receipts or flyers you have already downloaded or emailed. Those copies are yours to manage.
9. Your wider rights
Deletion is one of several rights you have under Ghana's Data Protection Act, 2012 (Act 843), and under the GDPR if you are in the EU or UK. You may also request access to, correction of, or a copy of your data. Our Privacy Policy sets these out in full, and you may complain to Ghana's Data Protection Commission if you are unhappy with how we respond.
